The best digital menu software in India (2026 edition)

Honest comparison of QRated, DotPe, Petpooja, Limetray, and Posist for India's F&B operators: pricing, features, KDS, GST invoices, and what each one is actually good at.

If you run a restaurant, café, or cloud kitchen in India and you're shopping for digital menu software, the marketing pages don't help. Every product claims "GST-ready", "easy to use", and "20+ themes". So this is what each one is actually good at, where each falls short, and which one to pick if your team is two people and your priority is getting a menu live this week.

We build QRated, so this is not a neutral review. We tell you below where QRated isn't the right pick.

What you're really comparing

A "digital menu" can mean three different things in India. Sort the products by what they actually do.

TypeWhat it isBest for
QR menu onlyDiner scans, sees menu on phone, calls waiter to order. No ordering software.Hyper-small cafés, tea shops, quick-stop counters
QR menu + orderingDiner scans, picks items, sends to kitchen. May or may not include payments. Most cafés, restaurants, cloud kitchens, dining outlets
Full restaurant POSAll of the above, plus billing counter terminal, cash drawer, GST returns, inventory, raw-material tracking.Multi-outlet chains with a manager and accounts team

Don't pay for a full POS if you only need the first two. Don't pick a QR-only tool if you actually need orders flowing into the kitchen. Match the tool to your operation, not the other way around.

The contenders, what they are, and what they aren't

QRated (yours truly)

Free plan with a printable QR kit, ₹7,500 Starter per year, ₹10,000 Pro per year. India-first: Mumbai region servers, INR pricing, GSTIN invoices, UPI prepay built in via Cashfree Easy Split (vendor settlement direct to merchant).

Good at: Beautiful default themes (10 of them), brand customisation in 30 seconds, real-time KDS, table-tagged tickets, GST invoices on Pro plan, fine-grained typed modifiers (sugar / milk / spice), help-button signals (call waiter, refill water, bring bill). Mumbai region keeps the dashboard snappy on 4G.

Not good at: Full POS, no billing-counter terminal, no inventory tracking, no raw-material module, no third-party logistics integrations. We are intentionally not a Petpooja.

Pick QRated if: You want a clean, modern customer-facing menu, fast onboarding, and built-in KDS / invoices without paying ₹3,000+/month for a POS you don't need.

DotPe

Started as a payments company, expanded to ordering. Free tier exists, paid tier roughly ₹500/month per outlet (varies by sales team).

Good at: Payment integration (it's their roots). Wide footprint: many small outlets in tier-2 cities run on it. Decent QR menu basics.

Not good at: Visual design, menus tend to look generic. Customisation is limited. Theme variety is thin. KDS is functional but not a focus area.

Pick DotPe if: Your priority is payment collection over menu aesthetics, and you've already built a relationship with their sales rep.

Petpooja

The 800-pound gorilla. Per-outlet licences, roughly ₹6,000-12,000/year base, more for add-ons. Sales-led onboarding (they will call you).

Good at: Full POS. Inventory, raw-material tracking, BOM, recipe costing, central kitchen support, multi-outlet rollups, GST returns export, Swiggy / Zomato sync. If you need every single thing in one product, Petpooja covers it.

Not good at: Speed of setup. Tens of clicks to get a menu live. UI feels enterprise, built for a manager with a desktop, not an owner with a phone. Customer-facing menu (the QR menu side) is decent but not the focus area.

Pick Petpooja if: You're a 3+ outlet chain with a finance/ops person, you need inventory & POS in one place, and a slower setup is fine because you've got a team.

Limetray

Mid-tier POS + ordering. Roughly ₹1,500-3,000/month/outlet. Heavier sales motion than Petpooja in some cities.

Good at: Marketing and CRM, loyalty programs, SMS marketing, customer database with tagging. If "I want to send WhatsApp campaigns to my regulars" is on your wishlist, Limetray is built for that.

Not good at: Onboarding velocity. Pricing transparency. Menu aesthetics are functional, not delightful.

Pick Limetray if: Marketing & retention is your top priority, you have a marketing team or co-founder running campaigns, and you can absorb the full POS overhead.

Posist

Enterprise restaurant POS. Pricing is sales-led: expect ₹4,000+/month/outlet for the full package.

Good at: Multi-outlet enterprises. Cloud kitchens with 5+ kitchens. Centralised menu, central inventory, finance reporting at scale. The product is solid for the customer it's built for.

Not good at: Small operators. Trying Posist as a single café feels like buying SAP for a kirana store.

Pick Posist if: You're scaling, you're already past 5 outlets, and you have an ops + finance team to operate it.

Square / Toast / Lightspeed

Don't pick these in India. They're not localised, they don't speak GST, and they don't integrate with Indian payment rails (UPI, Cashfree, vendor-settlement Easy Split). Even the ones that "work" in India have rough edges that will cost you hours per month.

What "GST-ready" actually means and how to verify it

Most products claim GST support. The honest test:

  1. Does it generate a sequential, gap-free invoice number per financial year? (E.g. INV-2026-0001, INV-2026-0002, never re-uses, never skips.)
  2. Does it include CGST + SGST (or IGST for inter-state) as separate line items?
  3. Does it print your GSTIN, your customer's GSTIN if provided, place of supply, HSN code per line item?
  4. Can you export the month's invoices as a CSV your CA can import into a GSTR-1 filing tool?

Ask a sales rep to show you a sample invoice PDF. If they hesitate, that's the answer. QRated, Petpooja, Limetray, and Posist all pass this test. DotPe is hit-and-miss across plans.

If GST invoicing is critical (B2B catering, large takeaway orders for offices), pick a product with an invoice template you can preview before you sign up. Read our deeper post on GST-compliant invoices for restaurants.

What you actually want to evaluate (and what's marketing fluff)

Spend your trial time on these:

  • Onboarding speed. Can you get a menu of 30 items live in under an hour, alone, on a phone? If not, the friction will compound every time you change the menu.
  • Edit-to-live latency. When you change a price, how long until the diner sees it? It should be under 5 seconds. Some products require a "publish" step that adds a manual lock-in.
  • Photo upload UX. You will upload 30+ photos. The bulk upload tool is the difference between an hour and a weekend.
  • Mobile dashboard. You will use it from your phone in the kitchen, not from a laptop in an office. If the dashboard is desktop-only, walk away.
  • KDS print or screen. If you want a kitchen display, watch how it handles 4 simultaneous orders. Most products demo with 1.

Skip these because they sound impressive in pitch decks but rarely matter:

  • AI menu suggestions. Useless on day one. Worth zero in your decision.
  • NFT loyalty / blockchain. Marketing.
  • "40+ integrations". Most you'll never use. Ask which 3 you'd actually use.
  • "Voice AI for ordering". Nobody is asking your QR menu a voice question. Ignore.

A decision shortcut

Answer in order. The first "yes" is your pick.

  1. Are you a 5+ outlet chain with a finance/ops team? → Petpooja or Posist. Probably Petpooja unless your team has experience with Posist already.
  2. Is marketing/loyalty your day-job, with WhatsApp campaigns to regulars? → Limetray.
  3. Do you have payments + collections as the #1 problem to solve? → DotPe.
  4. Are you a 1-3 outlet operator who wants a beautiful, fast-to-launch QR menu with KDS and GST invoices? → QRated.
  5. Do you need just a static QR menu with no ordering? → Any free Linktree-style page works. Don't pay for software you don't need.

What we'd recommend if we ran a small café

If we were starting a single-outlet café in Bengaluru today:

  • Free plan on QRated for the first month.
  • Buy the QR print kit (₹0, it's a downloadable PDF).
  • Skip POS entirely. The bill is paid at the counter, the order ticket comes off the kitchen printer.
  • Move to Starter (₹7,500/year, billed yearly) when daily orders cross ~30 and you want analytics + KDS.
  • Add UPI prepay only for takeaway, in month 2.

That's a ₹7,500/year stack for a café doing real volume. Anything more is over-engineering.

A quick note on lock-in

The biggest hidden cost of POS software is data export. Pick a product where:

  • You can export your menu (items, prices, photos) as CSV or JSON.
  • You can export your order history as CSV.
  • You can export your invoice list as CSV.

If a product can't do this, you're locked in. Ask before you sign up. QRated lets you export everything from Settings → Data. Most enterprise POS products do too. Some smaller ones don't, and you'll only find out the day you want to switch.

The honest one-line per product

  • QRated: fastest path to a beautiful menu + KDS + GST invoices for 1-3 outlets.
  • DotPe: best if payments are the priority over design.
  • Petpooja: full POS, slow to set up, worth it for 3+ outlets.
  • Limetray: best if marketing/loyalty is your day job.
  • Posist: enterprise; don't pick unless you're already past 5 outlets.

Pick the smallest tool that solves today's problem. You can always upgrade later. Restaurant tech rarely fails by being too simple.
